Process Overview

Each semester an email with the Online Course Evaluation calendar is sent out to department chairs and some department administrators. 

During the time period before an evaluation begins, schools and departments can make their selections for courses to participate in OCE.  Schools and departments can also add custom questions. The Office of Survey Research and Analysis (SRA) recommends that if schools or departments add custom questions that they use the Short Form. 

Since it is an automated system, administrators of OCE have until midnight the day before the each evaluation period begins.  The first day of the evaluation period, a list is created of all instructors and students with courses participating in OCE.  SRA then sends an email to instructors during the morning of the first day of evaluations.  In the afternoon, SRA sends out an email to students.  Students will receive email reminders if they have an open evaluation every few days until the end of the evaluation period. 

After the evaluation period closes, OCE waits until grades are due, then releases the results to the instructors.  The dates that results are released are included in the first email to instructors.  On that date, instructors and department administrators can log into the system and view their results if there are at least 5 students who responded.  Also, on that date, courses that are selected to participate in Student Reports are available for students to view.
